1. Who we are
The Front Office Sport is run by Intrepid Fox Group Pty Ltd (ABN 52 188 298 415). We handle personal information in line with the Australian Privacy Principles. For participants in the UK and Europe, we also apply the rights set out in the UK and EU General Data Protection Regulation.
We collect only what we need to run your program. We don't sell your information, and we never will.
2. What we collect
- When you book: name, email, region, booking answers (such as your study or career stage), and any student or discount code.
- When you pay: enrolments and payments are handled by TryBooking. We receive your booking details; we never see or store your full card details.
- During the program: your attendance, assignments, capstone work, and what you say in live sessions, which are recorded.
- When you contact us: your emails and anything you choose to share.
- On the website: our site doesn't use tracking cookies. TryBooking may set its own cookies when you book on its site.
3. How we use it
- To confirm bookings, take payment, and send joining links, reminders and recordings.
- To run the program, review your work and issue certificates.
- To answer your questions and handle refunds.
- To tell you about future cohorts and sessions. You can unsubscribe at any time.
- To meet our legal, tax and accounting obligations.
We use your name or testimonial in marketing only with your permission.
4. Who we share it with
We share information only with the services we use to run the program, and only what each one needs:
- TryBooking: enrolments, payments and booking confirmations.
- Zoom: live sessions and recordings.
- Our email provider: confirmations and updates.
- Our accountant: payment records, for tax.
We may also disclose information where the law requires it.
5. Overseas storage
Some of these services, including Zoom, may store data on servers outside Australia, including in the United States. Each of them has its own privacy and security commitments. By booking, you consent to your information being handled this way.
6. High school students
- Game Plan bookings are made by a parent or guardian. We collect the parent's name and email, the student's first name and year level, and the parent's consent.
- Joining links and all communications go to the parent or guardian.
- We don't send marketing to students under 18.
- We don't keep recordings that show students' faces or names.
- A parent or guardian can ask us to delete their child's information at any time.
7. How long we keep it
- Session recordings: deleted 90 days after a cohort ends.
- Assignments and capstone work: deleted 12 months after your program ends.
- Payment and tax records: kept for 5 years, as Australian tax law requires.
- Contact details: kept while you're on our mailing list or until you ask us to delete them.
8. Your rights
You can ask us to show you what we hold about you, correct it, or delete it. Participants in the UK and Europe can also ask us to restrict how we use it or to send it to them in a portable format. Email hello@thefrontofficesport.com and we'll respond within 30 days.
We keep your information secure using access controls on our accounts and by relying on established providers for payments and storage. If a data breach is likely to cause you serious harm, we'll tell you and the regulator.
9. Complaints
Email us first and we'll reply within 2 business days. If you're not satisfied, you can contact the Office of the Australian Information Commissioner. In the UK, you can contact the Information Commissioner's Office; in the EU, your local data protection authority.
